Job Description
As an integral part of the Correctional Education Records team, the Student Records Clerk serves the department’s students throughout their educational life cycle and is the official source of information of the academic record.
The Student Records Clerk performs data entry, information verification, as well as handle routine requests for student records, transcripts and related information.
Process initial student electronic and paper files.
Interface successfully with the CRM as it pertains to applications.
Accurately update student information such as name change, academic and demographic information, as well as other data information.
Provide transcripts, enrollment verifications, degree verifications by mail, facsimile or telephone according to prescribed procedures.
Maintain confidential academic files in proper working order in accordance with current FERPA and university procedures.
Assist FERPA approved individuals and students who request student file information.
Assist with record retention processes as they pertain to individual student files.
Assist with the digitization of student files.
Assist in the distribution and collection of forms, including but not limited to release of records, FERPA waivers, degree applications, etc.
Maintain up-to-date student academic records, including add/drop, all grades, (final, incomplete, audit, credit, transfer, integrity violation, and institutional withdrawal).
Monitor and maintain internal student tracking data bases.
Monitor cep-records email with proper distribution to the appropriate team member.
Monitor the submission of final grades.
Manage incomplete grade requests and grade change forms.
Process forms such as name, address, degree changes.
Manage all incoming mail.
Request all High School completion documentation.
Review National Student Clearinghouse for previous institutions attended.
Request all previous college transcripts.
Maintain confidentiality on all information in the office in accordance with current FERPA and university procedures.
Create and maintain reports in Informer for office and other stakeholders.
Maintain courteous, professional and effective working relationships with employees, vendors and/or any other representative of external organizations.
Comply with all University policies and procedures.
Assist with completing other duties as assigned.
Required Qualifications
Associate Degree required from a regionally accredited institution
One (1) year experience in a high volume office, preferably higher education records maintenance
Excellent written and verbal communication skills
Commitment to confidentiality
Ability to perform independent research

Preferred Qualifications
Bachelor Degree preferred from a regionally accredited institution
Experience in correctional education
Experience with Google Docs
Physical Demands
This position operates in a professional office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear.
The employee frequently is required to; stand, walk, use hands to finger, and reach with hands and arms.
This position requires the ability to occasionally lift office products and supplies, up to 25 pounds.
This is a full-time position, and hours of work and days are Monday through Friday, with normal hours between 8:00 a.
m.
to 5:00 p.
m.
From time to time working hours may be modified and exceed the standard work week.
The position may require occasional travel.
